A WhatsApp CRM is a customer relationship management system that connects to your business WhatsApp number, so every chat becomes a lead with an owner, a history and a next step. For a Malaysian SME with more than one salesperson, look for a shared inbox, automatic lead creation, reply-time reminders, follow-up sequences, consent-aware broadcasts and quotations that can be sent and signed from the chat.
What is a WhatsApp CRM?
A CRM keeps one record per customer: who they are, where they came from, what was said, and what should happen next. A WhatsApp CRM does this for the channel where many Malaysian customers prefer to enquire. Instead of chats living on individual phones, messages arrive in a shared inbox and are attached to the right lead automatically.
The difference from the WhatsApp Business app is ownership and follow-through. The app helps one person reply. A CRM makes sure someone replies, on time, and that the next step is scheduled.
Signs your team has outgrown the WhatsApp Business app
- Enquiries sit unanswered because everyone thinks someone else took them.
- A salesperson leaves and their customer chats leave with their phone.
- You can't say how many leads came in last month, or from which ad.
- Follow-ups depend on each person's memory or a spreadsheet nobody updates.
- Quotations go out as PDFs and you never know if they were opened.

9 things to look for in a WhatsApp CRM
Use this checklist when you compare systems. The last column shows how Lead Link handles each point; the full Lead Link feature list has the details.
| Feature | Why it matters | In Lead Link |
|---|---|---|
| Shared team inbox with owners | Several people answer one number, and every chat has one owner. | Mine / Unassigned / All views, assignment, chats linked to the lead. |
| New chats become leads | No copying numbers into a spreadsheet. | Unknown numbers create a lead; known numbers join the lead's timeline. |
| Reply-time reminders | Speed decides many deals; someone must be accountable. | 15-minute reply task with countdown and alerts. |
| Follow-up sequences | Most leads need several touches before they buy. | Day-by-day call, WhatsApp, email and to-do steps. |
| 24-hour window and templates | Messaging outside the rules gets messages blocked. | Window countdown; approved templates outside it. |
| Consent-aware broadcasts | PDPA and Meta both expect opt-in. | Only contacts with recorded consent and no do-not-contact flag. |
| Quotations from the chat | The deal should not leave WhatsApp to be closed. | Quotation link with view alert, e-signature and FPX / DuitNow deposit. |
| Ad attribution | You need to know which ads bring sales, not just chats. | Click-to-WhatsApp ad reference, cost per lead and ROAS. |
| Local languages | Customers write in Malay, English and Chinese. | AI Assist replies in the customer's language; interface in EN / BM / 中文. |
WhatsApp marketing and PDPA
Malaysia's Personal Data Protection Act 2010 (amended in 2024) applies to the phone numbers and chats you collect. In practice, a sales team using WhatsApp should:
- Record consent: when and how each person agreed to hear from you.
- Honour opt-outs immediately, across every salesperson and every campaign.
- Be able to show or delete what you hold about a person when they ask.
- Limit access so staff only change the customers they own, and keep an audit trail.
Lead Link supports each of these with consent fields, a do-not-contact flag that blocks sends and stops sequences, personal data export and erasure, and an audit log. It does not replace your own privacy notice or legal advice.
How to set up a WhatsApp CRM in five steps
- List your lead sources: WhatsApp, website form, Facebook and Instagram ads, walk-ins, referrals.
- Define your stages, for example New → Contacted → Qualified → Proposal → Negotiation → Won or Lost.
- Decide who gets which leads: round robin, or by territory such as Klang Valley, Northern and Southern (see assignment features).
- Write two or three follow-up sequences for your most common enquiry types.
- Connect the channels and import existing contacts with their consent status.
Frequently asked questions
Is the WhatsApp Business app enough for a sales team?
It is enough for one person answering on one phone. Once several salespeople share enquiries, you need a shared inbox, lead ownership, follow-up reminders and a record that stays with the company, which is what a WhatsApp CRM adds.
Can I send WhatsApp broadcasts to all my customers?
Only to people who agreed to receive messages from you. Business-initiated WhatsApp messages must use templates approved by Meta, and Malaysia's Personal Data Protection Act expects you to respect consent and opt-outs. A good WhatsApp CRM filters out anyone without consent or marked do-not-contact before sending.
What is the 24-hour window on WhatsApp?
When a customer messages your business, you can reply freely for 24 hours. After that, you can only start the conversation again with an approved message template. A WhatsApp CRM shows how much of the window is left and switches to templates when it closes.
Do I have to change my WhatsApp number to use a CRM?
Usually not. Customers keep messaging the same business number; the CRM connects to it so the team can answer from a shared inbox. Check with your provider how an existing number is moved onto the WhatsApp Business Platform before you switch.
