Everything Lead Link does, in one list.

Lead Link is a CRM and lead management system for Malaysian sales teams. It has 56 features in 11 groups: capture, assignment, pipeline, follow-up, WhatsApp, quotations, reports, calendar, local fit, data protection and billing.

Lead capture

Every enquiry becomes a lead with its source recorded, wherever it starts.

Website capture form

A private hosted link, a copy-paste HTML snippet or an iframe for your own website. Required fields, email format and consent checkbox are validated.

Webhooks for Google Forms, Zapier and Make

Send submissions from other form tools straight into Lead Link.

Spam and abuse protection

A hidden trap field and a 2-second time check silently drop bots; a rate limit caps submissions per hour. Regenerating the private key disables old links.

Duplicate detection

A new enquiry with a known phone number or email adds a note to the existing lead and alerts its owner instead of creating a copy. Possible duplicates are also shown when adding a lead by hand.

WhatsApp

Messages from new numbers create a lead with source WhatsApp; known numbers are added to the existing lead.

Facebook and Instagram lead ads

Connect a Page, map each lead form to a source and sync. Consent from the ad form is recorded; duplicates become notes.

Click-to-WhatsApp ads

Leads who message from a Facebook, Instagram or TikTok ad carry the ad reference for reporting.

Public booking page

Customers pick a free slot in the next 14 days; Lead Link creates or matches the lead and the appointment.

CSV import, business card scan and manual entry

Import a spreadsheet, scan a business card, or add a lead by hand. CSV imports send one summary alert per owner.

Assignment and alerts

The right person knows about the lead within seconds.

Round-robin auto-assignment

New leads are shared evenly across the sales team.

Territory routing

Each lead has a Malaysian state. With "Territory, then round robin", it goes to the least-loaded salesperson covering that state, falling back to round robin.

15-minute reply task

Every new lead creates a high-priority "Contact NAME within 15 min" task for its owner with a live countdown on the dashboard. The minutes are configurable.

Alerts everywhere

In-app and phone push notifications for new and assigned leads, WhatsApp messages, appointments and automation alerts, plus email alerts for new and reassigned leads, quotations and invoices. Each user chooses what they receive.

Unassigned leads

Unassigned leads alert managers and admins; salespeople can claim them from the list.

Leads and pipeline

One place to see every customer and what happens next.

List and Kanban board

Switch between a filterable list and a drag-and-drop board by stage. Stage tabs, filters, archive and restore.

Lead timeline

Notes, calls, WhatsApp messages, emails, quotations, automation runs and stage changes on one timeline per lead.

Lead scoring

A 0-100 score from stage, source, ad origin, recent WhatsApp messages, email opens and clicks, quote views, upcoming appointments, recency, deal value, contact completeness, consent and tags. Hot (70+), Warm (45-69) or Cold, with the reasons shown.

Deal rotting

Each open stage has an idle limit (defaults: New 2 days, Contacted 5, Qualified 7, Proposal 7, Negotiation 5). Idle deals turn red on the board and appear on the dashboard.

Lost reasons

Moving a deal to Lost asks for a reason from your own list (it can be made optional), so reports show why deals are lost.

Saved views

Built-in views such as My hot leads, Unassigned from Facebook, Going cold and Rotting deals, plus your own filters, private or shared with the team.

Bulk actions

Select leads to reassign, change stage, add a tag, archive or export to CSV. Leads you may not change are skipped and listed.

Tasks, calendar and products

Repeating tasks, appointments on a calendar, and a product catalogue whose prices fill in the deal value.

Follow-up and automation

The system reminds, reassigns and escalates so nothing depends on memory.

Automation rules

Triggers: new lead (optionally by source), stage changed, no contact for X days, task overdue by X days. Actions: create a task, reassign by round robin or to a person, notify the owner or managers, add a tag. Every run is logged.

Follow-up sequences

Day-by-day call, WhatsApp, email and to-do steps attached to a lead source or stage. Tasks are created on the day they are due. Sequences stop on Won, Lost, archive or do-not-contact.

Click-to-call with call logging

Call from the lead, then record the outcome, a note and an optional callback task. Calls appear on the timeline and count towards goals.

Email templates with tracking

Email from the lead with templates using {name}, {company}, {user} and {org}. Opens and clicks are tracked and alert the sender.

Daily digest

Each morning, an email with overdue tasks, today's meetings and leads going cold.

WhatsApp and AI Assist

Your business WhatsApp number, shared by the whole team.

Shared team inbox

Conversations grouped as Mine, Unassigned and All, with assignment, delivery ticks, media and per-message cost.

24-hour reply window

Free-form replies inside WhatsApp's 24-hour window; approved templates outside it.

Instant greeting

An approved template sent automatically to people who messaged first or gave consent, never to do-not-contact leads.

Broadcast campaigns

Pick an approved template, filter by stage, source, state, tags or owner, and see the eligible count and cost before sending now or on a schedule. Only contacts with recorded consent are included. Sent, delivered, read and replied are tracked; replies within 72 hours are attributed.

AI Assist

Three suggested replies in the customer's language (English, Malay or Chinese) for the detected question: price, visit, warranty, bill, thanks or general. Also a lead summary and a next best action.

Quotations, e-signature and payment

From draft to deposit without printing anything.

Quotation builder

Products with quantity, price and line discount, an overall discount and SST rate. Numbered as CODE-QYYYY-NNNN with your company details, SST and tax IDs, brand colour and terms. Download as PDF.

Send by WhatsApp or email

Send through the WhatsApp inbox or email; status moves from Draft to Sent to Accepted or Rejected. Duplicate a quote to revise it.

View tracking

Every quotation has a customer link. Views are logged and the owner is alerted "viewing now".

E-signature

The customer signs with a drawn signature, typed name and terms checkbox (time and IP recorded) or declines with a reason. Signing accepts the quote and moves the lead to Won.

Payment links

Collect a deposit (0, 30, 50 or 100%) or the balance by FPX, DuitNow QR or card. Payments appear on the quote timeline.

Reports and team performance

Numbers managers can act on this month.

Forecast and targets

Pipeline value, weighted forecast by stage win probability, six-month won value, and monthly target vs actual per salesperson.

Source and ad reports

Results by lead source and per person; ad table with leads, won value, ad spend, cost per lead and return on ad spend.

Activity goals and leaderboard

Weekly goals for calls, WhatsApp, emails, meetings, quotes and won deals. Points: call 1, WhatsApp 1, email 1, meeting 3, quote 5, won deal 10. Podium for this week, month or 30 days.

Dashboard

Tasks due, the next 7 days, deals going cold, KPIs, pipeline, recent leads and automation runs, for you or the whole team.

Calendar and booking

Meetings in the same place as the deal.

Google Calendar sync

Each salesperson can connect Google Calendar so their appointments stay in sync.

Booking page per salesperson

Set days, hours and slot length. Customers book a free slot and the salesperson is alerted.

Language and local fit

Built for how Malaysian teams sell.

English, Bahasa Melayu and 中文

Each user picks their interface language; dates and numbers follow it. English is the fallback.

Ringgit, SST and local payments

Amounts in RM, SST on quotations, FPX and DuitNow QR for deposits.

Malaysian phone numbers

Numbers are normalised so 012-, +6012 and 6012 match the same lead.

Data protection and security

Tools for PDPA and for peace of mind.

Consent and do-not-contact

Consent (yes/no, date, channel) on every lead. Do-not-contact blocks WhatsApp and SMS sends and stops sequences.

Personal data export and erasure

Export everything held about a person as a file, or erase them permanently (admin only, reason required, name typed to confirm). Quotation numbers are kept as "Erased person"; the audit entry keeps no personal data.

Roles and ownership

Sales can view all leads but change only their own; Managers and Admins can change any lead in the company. Admin-only settings for users, company, capture form and plan.

Audit log

Every change is recorded with who, what and when.

Sign-in protection

Five wrong passwords lock the account for 15 minutes. Platform administrators use two-step sign-in with an authenticator app.

Visible support access

Support staff need a reason and a time limit (15, 30 or 60 minutes), are view-only by default, and a banner with a countdown is shown in your account.

Export and account closure

Full ZIP export (CSV per record type) on request. Closing an account schedules permanent deletion after 7 to 90 days; invoices are kept for tax records and a deletion certificate is issued.

Plans and billing

Simple subscription management.

Plans sized to your team

Plans set limits on users and leads and switch features such as broadcasts on or off. Reaching a limit shows a clear upgrade message, and locked features show what upgrading unlocks.

Invoices and online payment

Renewal invoices are issued 7 days before the period ends, with a payment link. Paying extends the subscription automatically.

Grace period

After the due date there is a 7-day grace period. If still unpaid the account becomes read-only, while incoming leads are still captured.
